1. Who this policy is about
AIYouTubeManager is a learning platform that helps you get more out of the YouTube channels you already follow. This policy explains what information the service handles and why. It is operated by AIYouTubeManager.
AIYouTubeManager is an independent service. It is not affiliated with, endorsed by, or sponsored by Google LLC or YouTube.

2. Information we collect
Account information
When you sign in with Google we receive your name, email address and profile picture from your Google account. We do not receive or store your Google password.
YouTube authorisation and data
If you connect YouTube, we store the access and refresh tokens that let us call the YouTube Data API on your behalf, and we read the data you have authorised: the list of channels you subscribe to, their titles, descriptions and public statistics such as subscriber counts, video counts and upload dates, plus public metadata about videos and playlists.
We do not receive your YouTube watch history — the YouTube API does not make it available to applications.
Activity inside the product
When you watch a video inside AIYouTubeManager we record which video it was, how long you watched and what proportion you completed. We also record what you search for in the product, your focus sessions and your progress through roadmaps. This is what makes personalisation, streaks and progress tracking work.
Learning preferences, goals and recommendation data
Your learning profile, interests, skill levels, goal mode, weekly goals and the roadmaps you create are stored against your account, along with the recommendations generated for you and which of them you opened.
Subscription and payment information
If you buy a paid plan, the payment itself is handled entirely by the payment provider on their own checkout page. We do not receive or store your card number. We store which plan you are on and the confirmation the provider sends us, which is what grants your access.
Device, log and analytics information
Our servers keep standard technical logs — IP address, request time, the page or endpoint requested, browser and device type, and error details — which we use to operate the service, diagnose faults and protect against abuse. If analytics or error-monitoring tools are enabled for a deployment, they are listed in section 6.
Cookies and similar technologies
We use browser storage and a cookie to keep you signed in and to remember interface preferences such as your theme and whether the sidebar is collapsed. These are necessary for the product to function. Where an optional analytics tool is enabled, it may set its own cookies; those are not required for the product to work.
3. How we use information
- To authenticate you and keep your account working.
- To score and categorise your subscriptions so the most educationally valuable channels surface first.
- To build your knowledge feed, recommendations and learning roadmaps.
- To answer your questions in the AI mentor and assistant using your own subscriptions and activity as context.
- To track streaks, goals and learning progress.
- To send a weekly digest email summarising your progress, if you have it enabled.
- To operate, secure, debug and improve the service.
- To handle payments, entitlements and support requests.
We do not sell your personal information, and we do not use it to target advertising.
4. AI processing
Some features send content to AI providers so it can be analysed or summarised. What is sent is limited to the content being processed — for example channel titles and descriptions, video titles and transcript text, and the message you typed together with the relevant context from your own library. AI processing also generates vector embeddings that make semantic search work.
AI output is assistive and can be inaccurate or incomplete. It is not professional, academic, financial, legal or medical advice, and you should verify anything important against the source video.
5. Legal basis and your choices
We handle this information to provide the service you asked for, to meet obligations that come with it such as billing and record keeping, and for our legitimate interest in keeping the service secure and working properly. Where something is optional — connecting YouTube, enabling the weekly digest, buying a plan — it happens only if you choose it.
You can withdraw YouTube access at any time, turn off the weekly digest, edit or clear your learning profile, clear your mentor and assistant conversation history, and delete your account outright.
6. Third-party services
The service depends on a small number of providers:
- Google and YouTube — for sign-in and for reading the YouTube data you authorise. Governed by the Google Privacy Policy.
- AI providers — currently Amazon Web Services (Bedrock), with Anthropic and OpenAI as configurable alternatives, used to generate scores, summaries, roadmaps, chat responses and embeddings.
- Payment providers — Stripe and, where enabled, Razorpay, which process payments on their own systems. Purchases made inside our mobile apps are processed by Google Play or the Apple App Store instead.
- Hosting and infrastructure — cloud hosting, database and caching providers that run the service.
- Email delivery — used to send the weekly digest and to reply to support messages.
- Error monitoring and analytics — where enabled for a deployment, used to detect faults and understand aggregate usage.
These providers handle information on our behalf to deliver the service. We do not sell data to anyone.
7. Data retention
Authorised YouTube data — your subscription list and channel metadata — is refreshed at least every 30 days, as the YouTube API Services Terms of Service require. If your authorisation is revoked or expires, the YouTube-derived data is removed within 30 days.
Everything else attached to your account — your learning profile, activity, roadmaps, summaries, conversations and recommendations — is kept while your account is active, so the product can keep personalising for you. Server logs are kept for a limited period for security and diagnostics. Records connected to a payment may be kept longer where that is needed for financial and tax record keeping.
8. Deleting your data and your account
Account deletion is permanent and cannot be undone. Deleting your account removes your account record and everything attached to it: watch history, search history, mentor and assistant conversations, roadmaps, video summaries, recommendations, your learning profile, your subscription records, focus sessions and activity logs. It also revokes our access to your Google and YouTube data.
Channel and video records are shared reference data, are not personal to you, and are kept.
You can delete your account from the settings screen in our mobile app. If you use the web app, email vijayrajpalanisamy@gmail.com from the address on your account and we will carry out the same deletion. See the support page for the steps.
To remove only the YouTube connection, revoke access at myaccount.google.com/permissions. Your account remains, and the YouTube-derived data is removed within 30 days.
9. Security
Traffic is encrypted in transit. Access to production systems is restricted, credentials are held as environment secrets rather than in code, and authentication uses signed tokens that expire. Payment card details never reach our servers.
No service can promise perfect security. If we become aware of a breach affecting your information we will act on it and notify affected users where it is appropriate to do so.
10. Children's privacy
AIYouTubeManager is not directed at children. You must be at least 13 years old, or older where your country sets a higher minimum age for consenting to online services, and you must meet the minimum age for a Google account in your country. If we learn that we hold information from a child below the applicable age, we will delete it. A parent or guardian who believes this has happened should contact us.
11. International users
The service is operated from, and its data is processed and stored in, facilities that may be in a different country from the one you live in — including by the cloud, AI and payment providers listed above. By using AIYouTubeManager you understand that your information is handled in those locations.
12. Your rights
Depending on where you live, you may have rights over your personal information — to access it, to correct it, to have it deleted, to object to or restrict certain processing, or to receive a copy of it.
You can exercise the main ones directly: edit your learning profile in the app, clear your conversation history, revoke YouTube access from your Google account, or delete your account entirely. We describe here what we actually do. This policy does not assert compliance with any particular data protection statute, and nothing in it is legal advice. If you believe a specific legal regime applies to you and you want to know how we handle a request under it, please ask.
13. Changes to this policy
We may update this policy as the product changes. The effective date at the top of this page always reflects the current version, and we will make a reasonable effort to notify you of material changes. Continuing to use AIYouTubeManager after a change means you accept the updated policy.
